Job Summary
The Sr. Coordinator supports the contract lifecycle process by managing administrative tasks related to drafting, reviewing, processing, tracking, and archiving contracts and related documentation. This role ensures accurate data entry, maintains contract records, coordinates approvals, and helps ensure compliance with company policies and contractual obligations.
Responsibilities
- Assist in the preparation, formatting, and routing of various types of contracts (e.g., NDAs, service agreements, vendor contracts, amendments).
- Management of MSA and SOW documentation and storage.
- Manage contract database and ensure accurate entry and maintenance of contract metadata.
- Monitor contract timelines, including key dates such as renewals, expirations, and deliverables.
- Facilitate internal review and approval workflows, ensuring contracts comply with corporate guidelines.
- Coordinate signatures and ensure proper execution and archiving of final agreements.
- Support audits and reporting by retrieving and organizing contract documents as needed.
- Communicate with internal stakeholders (legal, procurement, finance, etc.) regarding contract status and requirements.
- Assist in the implementation and improvement of contract management tools and processes.
- Maintain confidentiality of sensitive contract information.
Qualifications
- High School degree.
- 1–2 years of experience in an administrative, legal, procurement, or contract management support role.
- Familiarity of state, local and municipal permitting requirements.
- Familiarity with contract lifecycle management (CLM) systems or document management software.
- Strong attention to detail and organizational skills.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, SharePoint).
- Experience working in a legal, procurement, or corporate contract and or permitting department.
- Knowledge of legal terminology and standard contract clauses.
- Exposure to CLM tools like DocuSign or similar platforms.
- Strong interpersonal and communication skills.
