Job Summary

The Administrative Business Partner provides support to the Chief of Staff and Office of the CEO, as well as broader partnership and support for the team. This role works closely with leaders and colleagues to complete varied administrative, project management, and strategic tasks, while exercising discretion and sound judgment on a consistent basis. 

Responsibilities

  • Partner with Executive Assistants & Events teams in managing calendaring requests for internal/external meetings, conference calls, and webinars and supporting the coordination of on/off-site meetings and events. 
  • Support the CEO Strategic Calendar, helping to coordinate intake and organization of calendaring requests for further review. 
  • Capture critical notes and action items in Executive meetings and conversations, and track these and key deliverables through implementation. 
  • Work strategically across the organization to ensure timely updates on key initiatives are captured and communicated.   
  • Share timely recaps, highlight decision points and actions needed. 
  • Field phone calls, answer emails & manage inboxes consistently and create correspondence. 
  • Create agendas, status reports, and PowerPoint presentations for internal and external meetings. 
  • All other general support including liaising with internal and external contacts, preparing materials for investment committee review meetings, and other duties assigned. 
  • Assisting the Chief of Staff in preparing reports and presentations as required for CEO-led meetings. 
  • Manage highly sensitive and confidential information, navigating sensitive issues with both internal and external parties with diplomacy and discretion. 

Qualifications

  • A bachelor’s degree (or equivalent experience) 
  • 7+ years of experience supporting a C-suite executive and executive leadership team in a fast-paced and demanding corporate work environment 
  • Strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting, and competing priorities with minimal direction. 
  • Able to develop a deep understanding of the company/CEO’s priorities and knowledge of key stakeholders, with ability to proactively address issues with little direction. 
  • Strong analytical capabilities; budget management experience ideal. 
  • Demonstrates professional presence and inspires confidence with key stakeholders. Demonstrated ability to build a strong rapport with high-level internal and external stakeholders, managing communications on a variety of inquiries and requests. 
  • Excellent judgment with the ability to make critical decisions with minimal direction 
  • High level of maturity and works well under pressure. 
  • Demonstrates strong initiative, positive energy, and ability to exercise sound judgment and discretion.   
  • Demonstrated ability to look for ways to improve processes to increase efficiency and effectiveness. 
  • Technologically savvy with the ability to quickly acclimate to new applications and tools; proficiency with Microsoft suite 
  • Exceptional attention to detail and commitment to flawless execution on tasks. 
  • Capacity to navigate, digest, and make decisions amidst uncertainty. 
  • Committed to collaboration and teamwork. 
  • Ability to be available as needed for support outside normal working hours (including some evenings and weekends) 
  • The position will be based in Long Island City, NY and expected to work from the company’s headquarters on most workdays.

This position is identified as being performed in/or reporting to company operations in New York State. Salary ranges are supplied in compliance with New York State law.  Pay is competitive and based on a number of job-related factors, including skills and experience. The starting pay rate/range at time of hire for this position in the posted location is $102,816.00  - $168,912.00 / year. The rate/Range provided herein is the anticipated pay at the time of hire, and does not reflect future job opportunity.
